Keeping Triggers up to date ensures that patients continue to receive the engagement you have planned. As your organization evolves, it is important to regularly review Triggers.
NOTE: Access to Triggers is set by user role under Enterprise Settings > Permissions. The Triggers permission allows a user to create, view, and edit Triggers that are off. The Triggers Activation permission allows a user to turn Triggers on and off, and is also required to edit a Trigger that is currently on. For information on permissions, click here.
Maintenance Recommendations
Regularly reviewing your Triggers is essential to ensure patients receive relevant and timely outreach. Please coordinate with someone at your organization who has Triggers access to review the Triggers configured for your Practice(s) and determine if adjustments are needed.
The review frequency will depend on the number of Triggers configured for your Practice as well as whether they are filtered by Events, Locations, and/or Providers. As new Events, Locations, and Providers are added to a Practice, it is important to verify that the relevant Triggers include these filters, where applicable.
NOTE: If your review results in a change to a Trigger that is currently on, you need the Triggers Activation permission. Saving the edit stops the Trigger and restarting it requires that same permission. If you have the Triggers permission but not Triggers Activation, ask someone who has it to make the change or to turn the Trigger off so you can edit it.
Review Triggers
The Triggers page provides an overview of what each Trigger is designed to achieve. Triggers are sent based on Practice specifications, like Events, Providers, Locations, and lines, while preserving an Enterprise-wide cadence and message content. Avoid Duplicates
If your Practice is experiencing patients receiving duplicate messages, it is possible that there are two active Triggers that are configured based on the same variables. Being mindful of the number of automated messages, and ensuring that the variables do not overlap, can prevent patients from receiving multiple messages for the same appointment on the same day.
Let's review some common mistakes users make when building Triggers:
In the first step of configuring a Trigger, users sometimes use "Provider" rather than "Location" in the "Send From" section. Most organizations have set up their lines by Location. The Resource selected in the Trigger should match the Resource set up on your lines, even if you want to build provider-specific Triggers. Providers can be specified in the "Who should receive this message?" section.
Ensure your Events and Resources have unique names within Artera. This will make it easier to ensure that you are adding the correct filters to the Trigger.
Ensure the Event or Provider is added to the Trigger if you filter Triggers by Event/Resource.
We recommend minimizing the number of Triggers running per Practice to deliver your desired reminder cadence. If you only need to send a handful of automated messages infrequently, we suggest using Bulk Messages or Campaigns instead.
